Hi everybody,

I have a question about the best way to proceed - perhaps your experience can help me.


Background
We would like to set up an NPS survey that we use at a touchpoint in the customer journey.
The e-mail addresses come from our CRM system - which one is not relevant in this context, I think.
Unique links are to be generated which are then sent back to the CRM and to the mail programme.
The addresses and other socio-demographic data are to be recorded in the questionnaire (but this is not part of the question).
The sample is drawn in the CRM system once a week.
 

Questions:
Now I ask myself what makes the most sense - should it be a list in which all participants are included over time and I extract a sample every week (this would then be the newly added contacts) and in addition how can I automate this?
Or do I arrange for a new list to be created once a week and take the sample from this - in this case it would be 100%
In both cases it gets very confusing at some point - and this ist just one Quastionaire
Maybe there is a smart way that I haven't thought of yet.

I’ve been in a similar situation with a couple projects in the past. I don’t know that one way is better than the other. It really comes down to what works best for you as the owner of the process in terms of simplicity and minimizing the chance for errors, based on your familiarity with Qualtrics and your CRM, and whatever other tools are at your disposal.

What would obviously simplify the process is to use Qualtrics to distribute the survey links, instead of passing them back to your CRM for distribution, but I’m guessing that option is not possible, for whatever reason.

From what you describe, I would probably go with this solution. That way, the sample is already defined before it reaches you, which would minimize the amount of work you have to do to refine the list, and reduce the number of records you add that already exist in the Directory and won’t be contacted in a given time period.
